Employee kick-off for the IT services industry

A leading IT services company held its annual employee kick-off at the RheinMain CongressCenter (RMCC). The event, which began in 2019 with around 900 participants, developed over the years into a major event with over 3,000 guests in 2025.

The aim was

to create an inspiring platform for knowledge transfer, strategic exchange and team strengthening - efficient, high-quality and atmospheric.

Special challenges and solutions

  • Guiding the flow of visitors
    A combination of experienced security and hostess staff (WISAG) and the digital wayfinding system ensured smooth orientation and movement throughout the building.
  • Catering for 3,000 people without waiting times
    Thanks to GAUL Catering's decentralized catering concept with many smaller stations in all areas, both lunch breaks and evening events were handled smoothly and efficiently.
  • Atmospheric design of large areas
    Decorative stretch sails, sound suspensions and targeted ambient lighting created a warm, communicative atmosphere, particularly in the North Hall.

Technical complexity

The technical implementation of the event was realized by the company SchokoPro. The scale underlines the magnitude and professional setup of the event:

  • 210 m³ technical volume with a total weight of 39 tons
  • 1.7 km of installed signal cables
  • 660 kW total power output
  • 360 meters of truss mounted on 53 motorized chain hoists
  • 120 lights for ambient lighting
  • 780 working hours for set-up, show support and dismantling

Special feature: The Urban Club Band performed both at the plenary opening and in the evening on two separate stages. Two sound checks prepared in parallel and the conversion during the day of the event were implemented smoothly thanks to precise planning and an experienced technical team.

The result

The event was rated a complete success in terms of both content and logistics.
