III General information on data processing
1. purpose of the processing of personal data
We make Webex available to you to conduct telephone and video conferences with employees of LH Wiesbaden. The following data is only collected from you for this purpose. The data processing takes place in a member state of the European Union.
Webex is used via a user account on your end device or via a web browser. When participating in a video conference, the following types of data may be processed
- Configuration and communication data (device name, geodata, IP address, "User Agent Identifier", operating system type and version, client version, endpoint MAC addresses, time zone, domain name, activity logs, hardware type, user name, organization ID, "Universal Unique Identifier")
- Conference information (title, date, time, duration, number of meetings, number of participants, host name, screen resolution, dial-in method, diagnostic information)
- Support services/support (name, e-mail address, telephone number, authentication information, system information, error log files)
- Content data of the communication (video, audio, presentation material) *)
- Recordings for the purpose of playback, editing and transcription
- Access and administration rights for online self-service products
*) Content data (audio and video data) is not recorded or stored permanently. Unless the person responsible / moderator explicitly requests this for a meeting.
The transmission (data in transit) of content data is encrypted. The key is only valid during the meeting.
As part of the provision of Cisco Collaboration solutions, the processor processes personal data in the context of
- Commissioning and provision of Cisco Collaboration solutions
- Hosting of Cisco Collaboration solutions (e.g. communication connections, storage of audio/video recordings, chats or shared documents for later retrieval)
- Management of conferences and participant data (e.g. saving participant data, agenda, comments; managing invitations)
- Provision of operator services
- Troubleshooting and support
- Provision of reports processed.
2. legal basis for the processing of personal data
If you participate in the conference as an employee of the State Capital of Wiesbaden, we process your data on the basis of Art. 6 para. 1 subpara. 1 lit. b and c GDPR.
We process data on the basis of Art. 6 para. 1 subpara. 1 lit. e DS-GVO in conjunction with. § Section 3 of the Hessian Data Protection and Freedom of Information Act in conjunction with the respective specialist law, insofar as the video conference and the associated data processing are carried out to fulfill legal tasks of the state capital Wiesbaden and are necessary for this purpose.
If the video conference is necessary to fulfill a contract with you or to carry out pre-contractual measures, we base the data processing on Art. 6 para. 1 subpara. 1 lit. b GDPR.
The legal basis is Art. 6 para. 1 subpara. 1 lit. c, insofar as the data processing is necessary to fulfill a legal obligation to which the state capital Wiesbaden is subject.
If there is no legal basis for data processing, we will only process data with your consent on the basis of Art. 6 para. 1 subpara. 1 lit. a GDPR.
3. data deletion and storage duration
Unless an explicit storage period is specified below, your personal data will be deleted or blocked as soon as the purpose of storage no longer applies. However, data may also be stored in the event of an (impending) legal dispute with you or other legal proceedings or if storage is provided for by statutory provisions to which we as the controller are subject. The data will also be blocked or deleted if a storage period prescribed by the aforementioned standards expires, unless further storage by us is necessary and there is a legal basis for this.

IV. Rights of the data subject
If your personal data is processed, you are a data subject within the meaning of the GDPR and you have the following rights vis-à-vis the controller:
1. right to information
You can request information about your personal data processed by us in accordance with Art. 15 GDPR. In your request for information, you should specify your request in order to make it easier for us to compile the necessary data. Please note that your right to information is restricted by the provisions of Sections 24 (2), 25 (2), 26 (2) and 33 HDSIG.
2. right to rectification
If the information concerning you is not (or no longer) correct, you can request a correction in accordance with Art. 16 GDPR. If your data is incomplete, you can request that it be completed.
3. right to erasure
You can request the erasure of your personal data under the conditions of Art. 17 GDPR and Section 34 HDSIG. Your right to erasure depends, among other things, on whether the data concerning you is still required by us to fulfill our legal duties.
4. right to restriction of processing
Within the framework of the provisions of Art. 18 GDPR, you have the right to request that the processing of data concerning you be restricted.
5. right to object
