The Wiesbaden City Museum Foundation is a public foundation established by the state capital of Wiesbaden. As the sponsor of the sam – City Museum on the Market Square in the heart of downtown Wiesbaden, it ensures the ongoing operation of the museum, maintains, documents, and researches the important collection of Nassau antiquities as well as the collections on the history of the city and the Rhine-Main region. The foundation enables the sustainable implementation of exhibitions, events, educational programs, and collaborations with schools and other educational institutions, the RheinMain University of Applied Sciences, and stakeholders in the city's society. The foundation and museum see themselves as a platform and interface for knowledge, education, and social dialogue. Among other things, we are currently working on the contemporary redevelopment of the sam at a new location.

To strengthen our team, we are looking for a full-time (39 hours per week) temporary replacement for the secretariat |
office
management | administrative assistant (f/m/d) to cover for an employee on sick leave.

Your tasks

  • Independent handling of all administrative and organizational secretarial and administrative tasks (including telephone service, appointment coordination, visitor reception, mail processing and delivery acceptance, filing, errands)
  • Correspondence, paperwork such as correspondence and minute-taking
  • Procurement of materials, checking invoices
  • Ensuring presence in the secretariat during the museum's core working hours
  • Supporting management, including preparing presentations and coordinating appointments
  • Assisting with the organization, preparation, and follow-up of meetings and events at the sam
  • Building management for administration & market cellar (interface with caretaker, cleaning, security, etc.)
  • Coordinating appointments and registrations for museum education events
  • Handling vacation and sick leave notifications and employee time recording

Your profile

  • Successfully completed commercial or administrative vocational training or proof of equivalent professional knowledge and experience
  • Good verbal and written communication skills (German), good English skills
  • Proficiency in MS Office programs (Excel, Word, Outlook, PowerPoint)
  • Quick comprehension
  • Independent, goal-oriented, and structured approach to work, organizational skills
  • Strong social and communication skills and flexibility, ability to work in a team
  • Commitment and resilience
  • Reliability and discretion
  • Enjoy working with people
  • Interest in culture and history, especially in Wiesbaden

Desirable

  • Experience in the museum sector
  • Experience in editing
  • Experience in press and public relations, such as research, press reviews, distribution of printed materials, website maintenance, address database maintenance, social media

Interviews are expected to take place in calendar weeks 12 and 13.

The pay grade/TVÖD VKA is based on personal qualifications (max. E 8 TVöD).
The position is initially a temporary position to cover for sick leave.
